Inspection & Negotiation Support

  • Coordinate inspection timelines

  • Prepare and distribute inspection-related documents and repair agreements

  • Track negotiation deadlines and executed documents

Title, Lender & Third-Party Coordination

  • Open title and maintain communication with the title company

  • Coordinate with lenders, inspectors, and agents as needed

  • Monitor appraisal status and related documentation

Ongoing Communication

  • Serve as a central point of contact for transaction-related updates

  • Keep files organized and up to date throughout the process

  • Proactively flag missing items or potential issues

Closing Preparation

  • Confirm all final documentation is completed and submitted

  • Assist with final walkthrough coordination

  • Help ensure all closing requirements are met for a smooth closing day

Offer & Contract Preparation

  • Prepare and review the purchase agreement and related documents

  • Check for missing information, signatures, or required disclosures

  • Draft and send amendments and addenda for electronic signature

  • Distribute fully executed documents to your client, lender, and title company

Earnest Money Coordination

  • Coordinate delivery of the earnest money deposit

  • Obtain copies of earnest money checks for your records

  • Obtain a signed earnest money agreement, if applicable

File Setup & Communication

  • Open and maintain a complete, compliant transaction file

  • Send a professional introductory email outlining next steps and key details

  • Maintain consistent communication with the other agent, lender, and title company

Timeline & Deadline Management

  • Track all key contract deadlines, including inspection, financing, and closing

  • Add deadlines to your calendar to help prevent missed timelines

  • Monitor progress toward Clear to Close

Inspection & Due Diligence Coordination

  • Order and schedule the home inspection

  • Coordinate septic inspections when applicable and provide invoices to title

  • Confirm repair requests are executed and obtain receipts

  • Obtain copies of septic inspections, surveys, and home warranties when applicable

  • Verify home warranty invoices are provided to title

Appraisal & Lender Coordination

  • Confirm the appraisal is ordered, scheduled, and completed

  • Monitor appraisal-related documentation and timelines

Closing Preparation

  • Confirm the settlement statement or closing disclosure is sent for signatures
    (final approval handled by agent and lender)

  • Confirm the final walkthrough is scheduled

  • Assist with final closing details to ensure a smooth closing day

Post-Closing Support

  • Send a thank-you note and review request to your client, if requested
